An Indian email service is business email on your own domain from a company registered in India, with the mailboxes stored in Indian data centres or on your own servers, priced in rupees and supported from India. In 2026 that describes a short list: XgenPlus, Rediffmail Pro, Zoho Mail on its Indian data centres, BSNL's business email, and DataMail for personal multilingual addresses. This guide compares them, explains why the question matters more than it did five years ago, and shows how to move without downtime.

Two honest notes. Rediffmail Pro Special at 10 GB (₹510 a year) is cheaper than XGEN Premium at the same size (₹600 a year); it stops at 10 GB and business hours support. Zoho and XgenPlus both host in India, so for a pure cloud buyer the difference is deployment control and Indian-script addresses, not data location. Global suites are a different question: Google Workspace Business Starter is ₹270 per user per month and Microsoft 365 Business Basic ₹145, both hosted in a region of the vendor's choosing; the line-by-line comparison is on our compare page.
Why "made in India" started to matter for email
- Jurisdiction. Email is the written record of your business. A foreign provider, even with an Indian data centre, is a foreign company answerable to foreign legal process. An Indian provider operates under Indian law and Indian contracts.
- Compliance gravity. The DPDP Act and its 2025 Rules, RBI's data-localisation direction for payment data, CERT-In's logging directions and the SEBI and IRDAI frameworks all become simpler to evidence when the data, the operator and the contract sit in one jurisdiction. One thing to say correctly: DPDP itself does not mandate Indian hosting; the sector regulators do carry localisation and logging duties. - Language. India's own email technology pioneered email addresses in Indian scripts. With true IDN and EAI support, राजेश@डाक.भारत is a working address in Devanagari, Tamil, Gujarati, Bengali and 80 or more scripts, delivered to Gmail and Outlook users alike. - Support and accountability. Engineers in your time zone, an escalation path that ends in India, and a vendor whose reputation lives in your market.
Business email in India: what to check before you buy
- Your own domain, with unlimited aliases. support@, sales@ and billing@ should cost nothing extra. Google Workspace caps aliases at 30 per user; XgenPlus has no per-user limit.
- Standard protocols. IMAP, SMTP, CalDAV and ActiveSync, so Outlook, Apple Mail and every phone keep working and you are never locked in.
- Authentication set up for you. SPF, DKIM and DMARC published for the domain on day one, with a dashboard that checks them.
- Admin controls. Role-based administration, two-factor login, per-user storage, audit logs, data loss prevention for Indian identifiers such as Aadhaar and PAN.
- A GST invoice from an Indian entity, priced in rupees, at a price that does not change at renewal.
- Support you can phone. Ask who answers at 6 pm on a Friday when a mailbox is compromised.
- A path to on-premise. Even if you start in the cloud, a provider that can move you to your own servers later is the one that will not have to be replaced.
XgenPlus plans run from Starter (2 GB, ₹21) through Premium (10 GB, ₹50, the most chosen) to Enterprise (100 GB, ₹167), all per user per month billed yearly, mixable on one domain, with a ₹2 one-month trial for up to five users. On-premise email in India: when the cloud is the wrong answer
Banks, PSUs, defence suppliers, hospitals and any organisation with an auditor who asks "where exactly is the server" often need email inside their own data centre. In India that market has been served by Exchange and Zimbra for two decades, and both have moved to subscription licensing with patching left to the customer. XgenPlus on-premise is the Indian alternative: a per-user perpetual licence plus an annual maintenance contract, Standard or Enterprise edition, on your own hardware, a private cloud VM in India, or fully air-gapped with updates carried in on media. Enterprise includes archiving, journaling, litigation hold, eDiscovery, LDAP and Active Directory integration, and migration by the XgenPlus team with a written scope after an audit. It is listed on GeM for public procurement. Reference deployments include BSNL (8.1 million live accounts from May 2014), the Rajasthan State Data Centre since August 2017 including Rajasthan Police, Hindustan Aeronautics, BPCL, BEML and MECON.
Live, today. The Government of Rajasthan's email for its departments and officers signs in at mail.rajasthan.in, and the page says "Powered by www.xgenplus.com". Bharat Petroleum runs its retail and LPG email on XgenPlus and says so on its sign-in pages too: mail.bpclretail.in and mail.bharatgas.in both carry "Powered by XgenPlus" with a link back to this site.

How to switch without drama
- Pilot one team on your real domain. The ₹2 trial or a not-for-resale account costs nothing but attention.
- Copy while live. Mail, folders, contacts and calendars move over IMAP and CalDAV while the old system keeps working. Assisted migration is included from Premium upwards.
- Cut over the MX record on an agreed evening when the pilot team signs off. Addresses and domain do not change, and the old system stays readable until you say so.

Will a Hindi email address work with Gmail and Outlook?
Yes. In February 2018 Microsoft announced support for email addresses in 15 Indian languages across Outlook, Outlook.com, Office 365 and Exchange Online, and Gmail sends and receives internationalised addresses. What the global suites do not do is create one. An EAI-native platform is where the address is made: your हिंदी@ address created on XgenPlus works with correspondents on Outlook and Gmail alike. ICANN's Universal Acceptance Steering Group documented the engineering in a published case study (UASG 013D). For a personal address in Hindi, Gujarati, Bengali or any of 80 or more scripts, DataMail, built on the same technology, is free: App Store, Google Play.
Two independent records worth knowing. Wikipedia's article on Universal Acceptance notes, in its section on email address internationalisation, that "aliasing as downgrading technique is being practiced by BSNL, which used XgenPlus email solution", and records Dr Ajay Data's election as Chair of ICANN's Universal Acceptance Steering Group in 2019 and again in 2021. Wikipedia's article on the email address, in its internationalisation section, notes that "Indian company XgenPlus.com claims to be the world's first EAI mailbox provider", citing the UASG's 2017 report on Universal Acceptance in India. The same article records that "the Government of Rajasthan now supplies a free email account on domain राजस्थान.भारत for every citizen of the state"; that service is RajMail, developed and powered by XgenPlus and hosted at the Rajasthan State Data Centre. Is there an Indian email service like Gmail?

Which Indian email service is the cheapest?

Yes. BSNL's email service runs on the XgenPlus platform; the deployment went live in May 2014 with 8.1 million accounts and was the first by an Indian telecom operator to offer addresses in Indian scripts. BSNL said so itself: its September 2017 posts on X describe the service as "powered by @xgenplus", and the press coverage is linked in the on-premise section above.
Do Hindi and other Indian-language email addresses work with Gmail and Outlook?
Yes. Outlook has supported email addresses in 15 Indian languages since 2018 and Gmail handles internationalised addresses. Those clients deliver to such addresses; an EAI-native platform such as XgenPlus is where they are created.
Does the DPDP Act require email to be hosted in India?
No. The DPDP Act and Rules require consent, security safeguards, breach notification within 72 hours and erasure, not Indian hosting. Localisation duties come from RBI, CERT-In, SEBI and IRDAI frameworks for regulated sectors. Indian hosting or on-premise makes accountability easier to evidence.
Is a made-in-India email service secure enough for enterprises?
