Move off Zimbra without a mail outage, on a scope and price agreed in writing
Zimbra's free edition is discontinued, the Zextras suite reached end of life in July 2025, and two Zimbra vulnerabilities were exploited in the wild in fourteen months. If your server is one of them, the XgenPlus team migrates it: mailboxes copied in batches while Zimbra stays live, cut-over on a date you pick, everyone keeps their address.
A Zimbra migration to XgenPlus is done by the XgenPlus team in three stages: an audit that produces a written scope and a fixed price, a parallel run in which mailboxes, folders, contacts and calendars are copied from Zimbra using its export tools and IMAP while Zimbra keeps serving mail, and a cut-over on a date you choose, usually a weekend, after which the Zimbra hosts are shut down on your sign-off. The target is XgenPlus Enterprise on your own servers or private cloud, or the hosted service in Indian data centres. Migration is included in every on-premise Enterprise deployment and on hosted plans from Premium upwards.
Three stages, no day without mail
1. Audit and scope
We inventory the Zimbra installation: domains, mailbox count and sizes, distribution lists, LDAP or Active Directory, archiving rules, the client mix (webmail, Outlook, mobile) and anything that sends mail through it. You get a written scope, a fixed price and the cut-over plan.
2. Parallel run
XgenPlus is installed on your hardware or private cloud, or provisioned hosted. Mailboxes are migrated in batches from Zimbra while Zimbra stays live, so nothing is lost if a batch needs a second pass. Your admins get the console and training; users try the new webmail and their mail clients before anything switches.
3. Cut-over
MX records move to the XgenPlus hosts on the agreed evening. Users sign in with the same address; Outlook and mobile profiles are repointed. Zimbra stays readable until you sign off, then the hosts are retired and the AMC or hosted plan begins.
What is in the scope, and what stays the same
In every migration
- Mail, folders, contacts and calendars, per mailbox, with counts verified after each batch
- Distribution lists recreated as XgenPlus groups
- LDAP or Active Directory connected for sign-in and the address book
- SPF, DKIM and DMARC set for the new hosts before MX moves
- Administrator training at go-live and support under the AMC or hosted plan
What does not change for users
- Email addresses and domains
- Outlook, Thunderbird and mobile mail over IMAP, SMTP and ActiveSync
- Their folder structure and archives
- Shared calendars and group addresses
What improves: security fixes applied by the vendor that wrote the code, a built-in certificate authority for S/MIME, archiving and eDiscovery, chat, meetings and Xgen Office in the same licence, and email addresses in Indian scripts. Details on the Zimbra alternative page.
What we need from you for a fixed price

Size
Number of mailboxes, total mail storage, and the largest mailboxes. Zimbra's admin console reports all three.
Version and edition
Zimbra release (8.8, 9, 10.x) and whether it is Open Source, Network Edition or Zextras. Older releases need a different export path, and we plan for it.
Target
On-premise on your hardware or private cloud (Standard or Enterprise edition), or hosted XgenPlus in India. Not sure? The audit recommends one, and it is not a one-way door.
Zimbra migration, answered
Will there be downtime?
No planned outage. Zimbra keeps serving mail while mailboxes are copied in batches, and the switch is a DNS change on an evening you choose. Mail that arrives on Zimbra during the final hours is synced across before the hosts are shut down.
Do users keep their email addresses?
Yes. Domains and addresses are unchanged. Users sign in to XgenPlus with the same address, and Outlook or mobile profiles are repointed to the new server.
What does the migration cost?
It is included in every on-premise Enterprise deployment and on hosted plans from Premium upwards. The audit gives you a written scope and a fixed price for the deployment as a whole, so there is no per-mailbox migration surprise later.
Our Zimbra is old and unpatched. Does that change the plan?
It changes the urgency, not the method. Older releases are exported with their own tools and IMAP, and we treat an internet-facing unpatched server as the first thing to take off the internet: the parallel run can start behind your firewall while public MX still points at Zimbra for as short a time as possible.
Can we stay on our own servers?
Yes. XgenPlus Enterprise installs on your hardware or private cloud with LDAP or Active Directory, archiving, litigation hold and eDiscovery, on a per-user perpetual licence plus AMC. Hosted XgenPlus in Indian data centres is the option for offices that prefer not to run a server.
